How to Add or Edit a Subuser in IdealTraits

Subusers allow additional team members to access your IdealTraits account with customized permissions and location access.

Add additional users to your account so you can easily collaborate with your team on candidates throughout the hiring process. User permissions can be customized to control each person’s level of access.

Step 1: Navigate to Manage Users

  1. Click Settings icon in the top navigation.

  2. Select Add Users.

  3. This will open the Manage Subusers page.

From here, you can view existing subusers or add a new one.

Step 2: Add a New Subuser

  1. Click Add New.

  • If you do not have an available user credit, you will be prompted to purchase one.

  • Once you have an available credit (or after completing payment), the Add/Edit Subuser form will open.

Step 3: Enter Basic User Information

On the first page, enter the subuser’s basic information:

  • First name (required)

  • Last name (required)

  • Email address (required)

  • Mobile number (optional - but recommended for 2 factor authentication)

You will also choose whether to designate this user as an Account Contact. Account Contacts may be contacted by our team regarding account-related matters.

Click Next to continue.

Step 4: Assign Location Access

On the second page, select the locations this subuser should have access to. This determines which candidates and jobs they can view.

Click Next to continue.

Step 5: Assign Permissions

On the final page, choose which permissions the subuser should have access to. This controls what actions they can perform within the platform.

Click Save to finish.

How to Edit an Existing Subuser

  1. Go to Settings → Add Users.

  2. Locate the subuser you want to edit.

  3. Select the pencil icon to edit.

  4. Update their information, locations, or permissions.

  5. Click Save.

How to Delete a Subuser

  1. Go to Settings → Add Users.

  2. Locate the subuser you want to remove.

  3. Select the trash icon to remove.

  4. Once deleted, you will maintain that subuser credit and can fill it at any time.

Additional users will also automatically be added to receive email notifications. These preferences can be updated in Notification Settings.
