Effective Solutions for Common Workflow Problems

When your automated workflows in IdealTraits don’t perform as expected, it can be frustrating. This guide is designed to simplify the troubleshooting process by identifying common issues and providing straightforward solutions.

Common Issues and Solutions:

Candidate Entry Method:

  • Problem: Automated workflows trigger only for candidates applying via a job ad. If a candidate is manually added or imported from another source, the workflow won't activate.

  • Solution: Verify the candidate's entry method. Check if the candidate was manually added or imported, which could explain why the workflow didn’t trigger.

Candidate's Status:

  • Problem: Automated workflows will not execute on candidates who are in 'Archive' status. When a candidate is archived, any workflows they are currently in, will stop and the candidate will be removed from all future workflows.

  • Solution: Trigger workflows to execute while your candidates are in stages that are not 'archive' stage.

  • Note: If you archive a candidate prior to them taking the assessment, there is a chance the candidate could take the assessment in which our built in automation would move them to 'Assessment Complete' stage. If you have an automated workflow that triggers on 'Assessment is Completed', these candidates that were previously archived may enter into this workflow.

Filter Criteria Issues:

  • Problem: A filter within the workflow might be incorrectly set or unattainable. For instance, if your workflow filters candidates by "Personality Result" (like 'Sales Leader', 'Sales Person', 'Closer'), it will only include those specific candidates. Others will be excluded.

  • Solution: Review the criteria in the filter block and the comments & activity section in the candidate’s profile to ensure they match the required conditions. Candidates who don’t match the filter criteria will have a ‘filtered out’ comment left in comments & activity as shown in the image below:

Expiration of Workflow Add-Ons:

  • Problem: Workflows using add-ons like video interviews or SMS texting will pause if these services expire.

  • Solution: Keep an eye on email notifications regarding add-on statuses. Renew them promptly to avoid workflow interruptions.

Editing and Auto-Save Errors:

  • Problem: Sometimes, changes made in the workflow builder may not save correctly if you exit before reactivating the workflow.

  • Solution: Always ensure to activate and review the workflow after making any edits. This step confirms the changes and keeps the workflow operational.

Adding New Workflows:

  • Problem: If the 'Add' or 'Activate' button for new workflows is disabled, it usually indicates you've reached the limit allowed by your subscription package.

  • Solution: Check the number of active workflows under the “My Workflow Package” section (highlighted in image below as 'No. of Active Workflows'). If you’ve reached your limit, consider upgrading your package or deactivating less critical workflows.

Adding Actions to Workflows:

  • Problem: If adding a new action to a workflow is not possible, it could be due to two reasons: needing a reset or reaching the action limit per workflow.

  • Solution: Try saving your workflow as a draft, then re-enter and attempt to add the action again. If this doesn’t work, check the allowed number of actions per workflow in your package (highlighted in image above as 'Actions Allowed per Workflow'). If you’ve reached the limit, consider upgrading your package or adjusting/removing existing actions within your workflow.

Understanding these common pitfalls will help you manage and optimize your automated workflows effectively. Regular checks and updates based on the guidelines provided above are key to smooth workflow management.
