So you made the perfect hire, or you aren't looking to add any more staff to your team at the moment, and you have decided to end your subscription to IdealTraits.
All of the information in your account is Archived at your Expiration Date, and you will no longer have access to the information in your account until you decide to renew your subscription in the future.
But what about my resume? What about all of my completed assessments? Or my candidate comments? And my job ads?
Keep following along in this article to learn how to successfully save Candidate Information, Candidate Assessment Results, Offer Letters, and Job Ads before your account is archived.
How Do I Save My Candidate Information?
You want to start by downloading your Candidate's Resumes and saving them to a folder on your computer. This way you will always have access to them if you ever need to go back to review them while you don't have an active IdealTraits subscription.
You will have to download each candidate's resume individually by following these steps:
1 - From the Candidate List, click the candidate whose resume you want to download.
2 - In the Resume tab of the candidate profile, scroll down to view the resume.
3 - At the top right corner of the resume section, click the button that says "Download Resume"
4 - The resume will download to your computer.
5 - To locate the resume on your computer, look in your downloads folder.
Tip: Move the resume download to a folder you will remember, that way you can easily locate it when you need to.
How Do I Save My Candidate Assessment Results?
Next, you want to download your candidate assessment results so that you can remember their personality result. This can aid you in management and training throughout the duration of their employment in your agency. Check out our collection of content that discusses Managing the Personalities.
To print a candidate's assessment results, first, locate the candidate's profile by going to Candidates - All.
Click on your candidate's name to enter their profile, then select the Personality tab.
Click the download arrow in the top right corner of the personality summary to download your candidate's Personality Results and Short Answer responses.
If you'd like a download of the exact answers the candidate chose in the problem solving portion, repeat these steps in the Problem Solving Tab.
Once you have downloaded the assessments, open the download in another tab to print.
How Do I Save My Employee's Offer Letters?
Next, you'll want to download your employee offer letters so you always remember what their employment offer consisted of. This also contains important information about payment agreements, frequency of pay, start date, and more.
To download the Offer Letter, click on the employee's name from the Candidates - View All screen.
Then, select View Offer from the left-hand menu.
Then, locate the Download button in the top right corner of the Offer Letter preview.
The Offer Letter will download to your computer.
To locate the Offer Letter on your computer, look in your downloads folder.
Tip: Move the resume download to a folder you will remember, that way you can easily locate it when you need to.
How Do I Save and Print My Job Ads?
To print your job ad you’ll want to first go to Hiring Settings - Career Page - and select Preview next to the Color Theme section.
Under Open Opportunities click on the title of the Active job that you’d like to save. This will open a new tab where you can view your ad. From here you can right click your mouse and select Print or Save As… to save it to your computer.
To save the ad, change the Destination Dropdown to Save as PDF.
You can also print or save your ad by going to Jobs - View All and clicking on the title of your job ad. From here, you’ll want to copy the URL to your ad and paste it into a new tab. You can then right-click your screen and select Print or Save As...
If you’re using a PC, you can also click the Print Screen button on your keyboard. This will copy the entire screen to your clipboard. Then, open any program that allows you to insert images such as Microsoft Word or Paint. You can right-click your mouse and Paste the image into that program to print.
If you’re using a Mac, you can simply click File on the upper right side of your screen and select Print. This will print the entire screen.
Make sure that you save all of your account information in a folder on your computer that you will remember, so you can easily access the information when necessary.
