Archiving Candidates

Clean up your hiring stages by using the Archive stage. Use custom tags to further organize your candidates.

Properly archiving candidates with tags will help clean up and organize your current candidates from those who may not be a good fit or may even be better suited for a future opportunity.

Archiving a Candidate

Locate the candidate you wish to archive and click the drop-down in the Stage column to the right of their name. Select Archive.

You will be then prompted to place a tag on your candidate. You can choose not to tag this candidate, select a tag from preloaded options, or create your own. Tagging candidates is not required.

In the same window, you will also have the option to send the candidate a rejection letter via email. Choose from the "Send a Rejection Email" drop-down and select an email from the options we've provided you with. After selecting the one you would like, a dialogue box will appear with a preview of what the rejection email says. In the same window, you can choose to add a Time Delay to the rejection email. This means that you can choose for the candidate to receive the rejection email immediately, in 30 minutes, or 1 day later.

Archiving Multiple Candidates at Once

To Archive more than one candidate at a time, select and check the box next to their name.

Doing so will prompt an Advance To drop-down menu next to the Search bar.

Select the drop-down and choose Archive.

You will then be prompted to tag the candidates, this is optional.

In the same window, you will also have the option to send the candidate a rejection letter via email. Choose from the "Send a Rejection Email" drop-down and select an email from the options we've provided you with. Tagging Your Candidate

Although it is optional, we have added tags to the system to help you organize your archived candidates. You can use one of our existing tags - such as "Better for Another Role" for candidates that may flourish elsewhere in your company, or even "Spam" for those that appear to be bots - or you can create one of your own.

Tags will appear and are searchable in your Archive stage. Tags can easily be removed or added from the Archive stage by simply clicking on the "X" on the right side of the tag.
